Personal Data Privacy Notice

The Swift Owners’ Club is committed to protecting the privacy and security of all our members’ personal data.  This document explains how we use any personal data about you the member in accordance to the General Data Protection Regulations (GDPR). It describes what types of information we collect from you, how it is used by us, how we share it with others, how you can manage the information we hold and how you can contact us with any queries and/or requests.
The Principles of Data Protection
Data must be used lawfully and in a transparent manner.
Collect only data that is required and explain what the data is used for.
Data must not be used for incompatible purposes.
Data must be relevant to the purpose it is held for and limited to that purpose.
Data must be accurate and up to date.
Data must be kept only for as long as necessary.
Data must be kept securely.
What Personal Data we hold either temporarily or for the duration of your membership
Personal data means any information about an individual which can identify them.
Name, Address, Telephone Number(s), Email Address.
Bank details (for payments via Direct Debit).
Vehicle registration number.
Images taken e.g.  for the Club’s website and Facebook page etc.
The IP address of device(s) used to access the Club’s online services.
Communications via, email, text, social media apps.
How Data is Collected & Used
Collection of data is by membership application or renewal forms (online or paper) and forms for attending a rally or arranging a rally. Data is used to provide a service of membership and arranging rallies for the members (Data Subject).
How data is shared, secured and retained
Data is shared to other members via publication of Rally Book & Going Places.
Data is shared to Third Parties via providing copies of club publications.
Data is shared to Third Parties for confirmation of rally site bookings.
Data is shared on attendance records at rallies.
Any Third Parties used provide their GDPR compliant Data Privacy Policies to confirm security and privacy of members’ data e.g. advertisers in the Club’s publications.
Data is retained for no longer than necessary.
Members rights
A member has a right to request access to all their personal data held by the Club for the purpose of checking it is lawful and accurate.
A member has the right to correction of their personal data.
A member has the right to request erasure of their personal data at any time when there is no reason for the Club to continue to hold this data.
A member has the right to object to processing – you have the right to object to personal data being relayed to third parties, also you have the right to object where we are using data for marketing purposes.
A member can request restriction of personal data, this would be to suspend data for establishing accuracy, or requesting restriction to other members e.g. Officers of the club.
A member has the right to withdraw consent – This means a member can withdraw consent and SOC will no longer be able to process data for the purpose it was originally agreed.
Data Security
All third parties are required to take appropriate security measures to protect your personal data. We only permit third parties to have access to your data in accordance with our instructions and not for their own purposes. If we suspect that a data breach has occurred at any time we will notify you and take appropriate action(s).
Please Note
You are under no obligation to provide us with your personal data, but not providing data and/or consent will prevent us from providing you with the services of the Swift Owners Club so you cannot become or continue to be a member of the Club.
